Associate Program Specialist (Hybrid - SAP / Excel/ Automotive)

Position Overview The Associate Program Specialist enhances the effectiveness of the program management function by performing standard and ad-hoc administrative tasks essential for program success. This role supports program management and customer activities through the coordination of prototype builds, data entry in SAP and Winshuttle, and new program/part registrations. Key responsibilities include tracking material required dates (MRDs), maintaining detailed shipping schedules, and monitoring customer purchase orders to ensure timely delivery. Additionally, this role collaborates with cross-functional project teams to resolve issues, recommend solutions, and contribute to continuous process and procedure improvements.

Key Accountabilities & Responsibilities Administrative & Analytical Support:
Perform administrative, clerical, and foundational analytical tasks related to daily program management.
Prototype & Preproduction Builds:
Proactively support activities required for prototype and preproduction builds to ensure on-time delivery using MS Excel, email, and SAP.
Program & Part Registration:
Register Program Names, Development Codes, and Planning Numbers in Excel and GMM/GiTA Salesforce as requested. Support new model/part registrations and revisions using Excel, Salesforce, Winshuttle, Agile (Oracle), and SAP.
Customer & Material Logistics:
Track Customer Material Required Dates (MRDs) and maintain detailed shipping schedules for internal and external stakeholders. Track customer purchase orders to ensure complete and on-time part delivery. Support invoicing and material disposition under the direction of the Lead Program Specialist or Program Manager using Customer Portals, Shipment Scheduling Tools, SAP, and DMS (Development Management System).
Process & Timing Administration:
Administer the Global Project Management Process (GPMP) and Program Launch System (PLS) by registering programs/projects in the
GPMP-PLS
application. Create and maintain Baseline, Plan, and Actual (BPA) timing data in
GPMP-PLS
as directed by leadership.
Problem Resolution & Improvement:
Collaborate with project team members to identify open issues and drive resolution within or adjacent to assigned activities.
Quality Compliance:
Review procedures, materials, and processes to ensure full compliance with specifications and standards. Identify, segregate, and report suspect or non-conforming materials as necessary.
Qualifications & Requirements Education & Experience Required:
High School Diploma or GED.
Preferred:
Associate or Bachelor's degree in Business, Administration, Management, Operations, Engineering, Technology, Quality, or a related field—OR—at least 3 years of experience in program/project administration. Some demonstrated leadership capability is required.
Technical & System Skills Microsoft Office:
Strong proficiency in Teams, SharePoint, Word, Excel, and PowerPoint required. Aptitude for MS Project, Visio, and PowerApps preferred.
ERP/MRP Systems:
Aptitude for SAP required (prior experience with SAP or end-to-end ERP/MRP tools preferred).
Industry Tools:
General understanding of automotive product development and working knowledge of Automotive Exchange/Covisint, Salesforce, Winshuttle, and Oracle Agile preferred.
